1. Choose a reference you trust
Select a prior invoice or copy with information you have already verified. Vault Mail cannot establish that a supplier or bank account is genuine. Your verified reference is the starting point.
2. Review the extracted fields
Choose two text-based PDF or TXT files. Reading happens on your device. The tool looks for clearly labelled invoice details and leaves uncertain fields blank. Confirm the supplier, invoice number, date, account, currency, and total against your documents. You can also enter all details manually.
Use a currency code such as USD, GBP, or EUR and a total such as 1250.00. A dollar sign alone is not enough to distinguish US, Canadian, or Australian dollars.
3. Compare, then verify changes
After you confirm the reference and entered details, generate the report. It shows matches, changes, and fields needing review. On the Free plan, a completed comparison uses one of your five free comparisons. Pro includes unlimited completed comparisons while your subscription is active. Reading failures and the fictional sample do not use your allowance.
A changed field is a finding to investigate. A matching field is not proof that an invoice or payment is safe.
4. Keep the record on your device
Save a report or trusted reference in My vault. Use that reference for a later manual comparison. You can download individual CSV reports, print a report to PDF, and download a backup of your saved records.
The local vault belongs to this browser on this device. It does not sync between devices. Clearing website storage, using private browsing, or losing the device can remove your records. Download backups and keep your original invoices separately.
Supported files and practical limits
- Text-based PDF and plain-text files, with two documents per comparison.
- Up to 10 MB and 30 pages per PDF; TXT files up to 250 KB.
- Scanned documents, photos, and password-protected PDFs need an unlocked text copy or manual entry.
- Field comparison only: no full-page visual comparison, bank ownership checks, ledger connection, or automatic payment approval.
The five-comparison allowance is stored on this browser. Saved records remain accessible after the allowance is used.
