How to review a supplier bank account change

Compare new payment instructions with an established supplier record, then confirm account changes through a known contact channel.

Treat the change as something to verify

Suppliers can legitimately move banks or update payment instructions. A change can also appear in an altered invoice or a compromised email conversation. The useful first question is what changed compared with a reference you already trust.

Compare the account or IBAN text, the beneficiary name where available, and any routing information your payment process requires. Removing spaces can help you compare account text, but formatting checks do not establish who owns the account.

Confirm through an established channel

Use a contact number or other channel already in your supplier record, or independently establish it using your organization's process. Do not treat a phone number inserted into the new invoice or email as independent confirmation of that same change.

Explain which account detail changed and request the confirmation your payment policy requires. If the supplier has multiple accounts for different currencies or subsidiaries, make sure the instructions apply to this exact transaction.

Record the verified update

Keep the old details, the proposed new details, and a note of the confirmation process. Follow any required second approval before updating the supplier master record. Your company may have specific controls or verification services that go beyond a text comparison.

A matching account is only one finding

An unchanged account does not prove the amount is owed or the invoice is genuine. Review the supplier, goods or services, invoice number, total, and approval requirements as well. If your reference was wrong, an exact match simply repeats the same information.

Verify first, then save a new trusted reference. Automatically accepting an unfamiliar account would undermine the reason for comparing it.
